Email Retention Policies Change on Sept. 1
MCPS email retention policy changes are going into effect on Sunday, Sept. 1.
Many stakeholders have asked for a longer and more consistent email retention period. MCPS has increased the @mcpsmd.org (Microsoft) email retention period from 30 days to one year, and has applied the same policy to the @mcpsmd.net (Google) email system.
Starting Sunday, Sept. 1, any email that was sent or received over 365 days from the current date will be automatically deleted and will not be recoverable. Emails will remain in your account for one year from their creation/receipt. For example, an email received on September 15, 2019, will remain in your account until September 15, 2020, unless you delete it from your deleted folder. The new email retention policy will be for both employees’ @mcpsmd.org (Microsoft) account and their @mcpsmd.net account (Google).
This systemwide 365-day email retention policy goes into effect on September 1, 2019.
Remember that email with MCPS or student confidential information should never be forwarded to any outside email address. The option to create auto-forwarding rules for email to travel outside of the two email systems will also be turned off on September 1. If you need to keep an email item longer than the 365 days, please save or print the message.
